Attendance

Use the RSVP button on the website to enter meet availability for each swimmer to let the coaches know which meets you plan to attend. In order to qualify for season-end Conference Meets, you must participate in at least 2 meets for B Conference and 4 meets for A Conference throughout the season. If your availability for a meet changes, update your meet availability immediately on SwimTopia. Meet sign up deadline: Monday at 3pm (Wednesday Meets) and Thursday at 3pm (Saturday Meets). If you are no longer able to attend the swim meet and SwimTopia deadline is closed, please notify Coach Rachel and Coach Grant at [email protected] ASAP. 

If your child will need to leave early from the meet or can only attend the second half of the meet, please still sign-up for the meet and email Coach Rachel and Coach Grant to let them know so they can enter them in events accordingly. 

Unexcused absences of meets will result in penalties at future competitions. The coaches understand that car trouble, illness, etc. can occur last minute, but communication with the coaches on meet day is IMPERATIVE if absence or tardiness is expected.

Volunteering

Swim meets require dozens of volunteers to run, so it’s required that each family does their share. Each family is required to volunteer at 7 shifts of swim meet.. Families that don’t fully participate can have their swimmer(s) removed from meets . You can sign up for volunteer jobs by registering on the website.

What to Bring

Positive Check-In

All swimmers must check-in with a coach immediately upon arrival at swim meets. Positive Check-in closes at the start of Barracuda warm-ups, see the meet schedule for details. IMPORTANT: Swimmers that are not checked in before warm-ups and have not contacted a coach about tardiness or absence, will be scratched from the meet. No Call/ No Shows will be penalized in future competitions.

Warm-Ups

Due to the large number of swimmers on the team, it is important that everyone arrives on time for proper check-in and meet warm-up. If a swimmer is not at warm-ups and a coach has not been notified or excused their absence, they will be taken out of the meet line up. These last minute changes often impact other swimmers’ events, so please be diligent with communication if you will be tardy or absent. It is expected that everyone leaves plenty early for home and away meets to allow time for traffic or other unexpected events.

Events Posted and Pre-Race

After warm-ups and line-up changes, the coaches will post the events (individuals and relays) for each swimmer that is checked in for the meet. If changes were made, check for additional or scratched out events near your swimmer’s name to determine the addition or subtraction of events; check in with a coach for any questions. You may want to bring a sharpie to write down your swimmer’s event numbers and lanes (on paper, on the back of the swimmer’s hand, etc.). Swimmers are expected to swim every event at least once to ensure all swimmers have equal opportunity in each event. Coaches will not accept special requests or changes to swimmers events.

Listen for the event number called to the Clerk of Course. Be prompt, confirm your heat and lane, and wait for your event in the Bullpen. When prompted, go to your assigned lane and get ready to swim fast.

Post-Race

The swimmer should ask a Timer for their time and then go see one of their coaches for feedback.

Scoring & Awards

Individual Events

  • 1st Place - 5 points
  • 2nd Place - 3 points (0 if unopposed)
  • 3rd Place - 1 point (0 if unopposed)
  • No Sweep Rule - 3rd place point awarded to swept team
  • Ribbons are awarded based on actual finish

Relays

  • 1st Place - 7 points (4 if unopposed)

Misc.

  • Heat winners may be awarded a bag tag, depending on the home team
  • Exhibition swimmers get no points but times count towards personal bests and Conference meets.

Ribbons

Ribbons are awarded for all participants unless the swimmer is disqualified. Ribbons are typically available about a week after the meet and can be found in the swimmers’ mailboxes available at practice. Ribbons are completed by volunteers, not the coaches.

Disqualifications

If the swimmer is disqualified from a race, the coaches will receive a DQ slip from officials at the end of the meet. The coaches will often discuss the DQ with the swimmer after their race (always stop by coaches after each event swam) and will follow-up with important reminders and feedback at practices. With any questions about disqualifications, please see a coach.

Weather

Per DSDC rules, a meet cannot be cancelled until 30 minutes after the scheduled start time. Swimmers are expected to be at the pool prepared for a meet until told otherwise. The Head Referee, Meet Director, Head Coaches, and Park District staff of the home team have the final decision to call for delay or cancellation. Coaches will use Remind to notify swimmers and parents of any changes.
